Vendors Rules


 

 

·         General Information:

 

Taking place September 18, 2010 the Rutherford County Firefighter Challenge will be the largest event for the area’s fire service personnel to take place in Rutherford County.

 

·         Location:

 

1495 US Hwy 74A Bypass, Spindale, NC 28160 – Old K-Mart parking lot; across the Bypass from Isothermal Community College.

 

·         Electricity:

 

Any vendor that wishes to have electrical access must provide their own source and all power cords.  All vendor equipment must be kept within the designated booth space.

 

·         General Vending Day & Times:

 

Vendor check-in and setup will be held on September 18, 2010 from 6:00am to 9:30am.  Vendor operating hours will be from 10:00am to 4:00pm.  Vendor tear-down time begins at 4:00pm and must be complete by 5:00pm.   Upon arrival, check in with the event manager at the designated area where you will pick site map.   Vehicles will not be permitted in the area after 9:30am on the day of the event.  All vehicles in the area before that time will be required to move with the exception of vendor trailers which must be in their designated location.

·         Registration:

 

Registration forms will be accepted via mail to 3132 Hudlow Road, Forest City, NC 28043 or on the RCFC website. When both the registration form and payment are received, you will be contacted via email and by letter to confirm that your registration has been processed.  NOTE: Registration forms received without appropriate booth fees cannot be considered.

 

·         Fee/Payment:

 

Checks must be made payable to: The Rutherford County Firefighter Challenge. See VENDOR REGISTRATION FORM to determine the cost of your booth. Full payment must be received no later than August 31, 2010. Your vending site will be assigned based on the order that the registrations (with payment) are received.  There is no refund for “no-shows”.  Your booth fee includes a listing on the official Rutherford County Firefighter Challenge event website.

 

·         Merchandise/Promotional Vendors:

 

Be sure to list the type of product(s) being sold or promoted on your VENDOR REGISTRATION FORM. Each vendor will be assigned a 10’ x 10’ space. ALL BOOTH SPACES ARE APPROXIMATE. Vendors must supply any tables, chairs, extension cords, etc. Vendors are responsible for the setting up, taking down, and cleaning up of their space. Event staff reserves the right to alter booth layout and restrict any displayed objects or items available for sale.

 

  • Security:

 

Limited security is provided. Vendors are responsible for securing all business and personal items during the event. All vendors are encouraged to report any suspicious behavior to event staff immediately.

  • Space Specifications:

 

Event spaces are limited –spaces will be assigned based on the order that registration was completed.  All space assignments are made at the discretion of the Event Manager.  All spaces are 10’ x 10’ square – all equipment must fit into this space, including displays, generators, tables, etc. The only exception to this is a trashcan for customer use, otherwise you will need to purchase and/or will be charged for additional space(s).   Vendors using trailers or wagons with tongues are required to purchase 2 spaces.

The event will be held on asphalt, therefore the use stakes or spikes to secure tents or equipment is not permitted. You must use sandbags or concrete anchors.  You will not be able to park your vehicle in or near your vendor space.

  • General Rules:

 

Any violation of the following rules will result in the vendor being excluded from the event and told to leave the site without a refund of payments received.

·         No alcohol beverages will be allowed on site.

·         No distasteful language will be used.

·         No items considered by the event staff to be offensive to the public will be allowed.

·         After August 1, 2010, no refunds will be given. Prior to this date, refunds will be granted after written notification.

·         All articles and displays must be in good taste with no reference to race, ethnic, gender, or religious prejudice.

·         Checks post dated or returned unpaid by the bank will result in immediate disqualification.

·         Exhibitors must check-in and be completely set up during the official check-in/setup periods listed on this document. Vendors that fail to check in during the set times will not be allowed to participate on that day of the event and will not be granted a refund. No exceptions.

·         No vehicles will be allowed for re-stocking during event times.

·         Following check-in all vendors must park in assigned parking area.

·         All vendors are responsible for cleaning their area of trash, leftovers, and waste. A dumpster is available for this purpose. You must provide trash bags.

·         All vendors are responsible for their own tax collections and reporting.

·         All vendors are responsible for their own business licenses and permits.

 

  • Permits and Licenses:

 

Vendors are responsible for all applicable business licenses and/or special event licenses.  Event permits/licenses must be displayed in your event vendor booth during the event.

Food/beverage vendors must contact Susan Robinson at the Rutherford County Health Department (828-287-6317) to apply for an event permit.   Food vendors who have not obtained a permit through the Health Department for the Rutherford County Firefighter Challenge will be shut down on event day.

  • Food Vendors:

Food vendors are responsible for their own liquid waste and/or grease disposal.  The RCFC will not collect liquid waste or grease, nor will a designated dumpster be provided to do so.  Vendors must dispose of this type of waste off site.

·         Additional Information:

 

It is the intention of the RCFC that our vendors provide an attractive, interesting, professional, clean, and well-maintained booth – and that they provide friendly, helpful, fun-loving personnel so that our visitors – your customers – enjoy the event and look forward to coming again next year!   It is also our intention to produce an event that you – our vendors – will find exciting and profitable so that you, too, will look forward to coming again for the next event.
